Steps
- Open the customer's page (or the supplier's from the Buy screen) and go to "Credit & debit notes".
- Press "Issue note".
- Choose the type: "Credit (reduce balance)" or "Debit (raise balance)". For a supplier: "Credit (reduce what we owe)" or "Debit (raise what we owe)".
- Enter the "Amount" and "Reason (optional)", and tick "Apply to open invoices (oldest first)" if you want it allocated.
- Press "Issue". The note appears with its number in the list, and "Download note PDF" gives the customer a copy.
What happens in the books
A customer credit note: sales/discounts debited, receivables credited. A debit note the reverse. For suppliers the same against payables. Every note is tied to its party and shows on their statement.
What the system does not do
It does not put an item back in stock through a note — use a return for that.
Common questions
- What is the difference between a credit note and a return?
- A return puts an item back in stock and reverses its sale. A credit note reduces the customer's debt without a stock movement — for a late discount, a settlement or a compensation.
- Can a note issued by mistake be cancelled?
- Yes, "Cancel note" from the notes list reverses it with a visible entry; it is not deleted.
